Editing user notifications
Learn how to configure and manage user notification settings in absentify to send absence request details to specific recipients.
Admins in absentify can configure notification settings for individual users, ensuring that specific recipients receive email notifications when absence requests of selected leave types are submitted, approved, or modified.
This feature is available from the Essentials plan and can be used in both Essentials and Plus plans.
Recipients of these notifications will see all details of the absence request, including leave type, comments, request creator, remaining allowance, approval status, and any provided reason. If attachments are included, a link to the request in absentify will be provided, allowing authorized users to view them.
Accessing user notifications
- Navigate to Settings > Users.
- Select the desired user from the list and open their profile.
- In the user edit menu, select the Notifications tab from the side menu.
Adding a notification setting
- Click Add Notification Setting.
- Select one or multiple Leave Types for which notifications should be sent.
- Choose one or multiple Notification Stages:
- When request submitted: Sends a notification when a new request is created.
- After request approved: Sends a notification when a request is approved.
- Every change in approval: Sends a notification when a request is submitted, approved, or declined.
- Enter the Receiver Email address.
- Click Save.
Managing notification settings
Once notification settings are created, they appear in the Notifications table. Admins can:
- Edit a notification setting: Click the pencil icon next to the entry to update the leave types, notification stages, or recipient email.
- Delete a notification setting: Click the trash icon to remove the notification rule.
How notifications work
- Any future absence requests matching the configured leave types will trigger notifications based on the selected stages.
- Multiple notification stages can be selected to ensure notifications are sent at all relevant moments.
- Recipients will receive an email with all details of the request, including:
- Employee name
- Date of absence
- Leave type
- Whether the absence is deducted from the allowance
- Request creator
- Duration
- Remaining allowance for the year
- Approval status and approvers
- Reason for the absence (if provided)
- Link to the request in absentify (if attachments are included, they can be accessed via this link with appropriate permissions)
The date and time format, as well as the language of the notification emails, follow the general settings of the workspace.
Notifications help keep stakeholders informed about leave requests but should be configured with privacy considerations in mind.
