If your administrator has enabled the overtime beta for your workspace and allowance, you can log extra work and earn credit after approval. To use that credit, create a separate absence request for time off in lieu.

Log extra work

  1. Open Overview or My calendar and select the arrow next to Create request.
  2. Select Log overtime. If several allowances are available, choose the right Allowance.
  3. Select the Day you worked and enter How long. For an hourly allowance, enter hours and minutes; for a day-based allowance, choose half a day or one day.
  4. Add a Comment (optional) to explain the work, up to 2,500 characters.
  5. Check the preview of your credit and, if shown, its validity date. A workday, day off or public holiday can earn different credit according to your company’s factors.
  6. Select Log overtime. The confirmation tells you whether the entry is waiting for approval or was approved automatically.

Dates and duration

  • Log work on today or a past date, up to 12 months back. Future dates are not allowed. Today follows your user timezone, or the workspace timezone if yours is not set.
  • The date must fall within your employment period and the allowance’s available date range. A shorter credit validity can further restrict past dates: you cannot submit work whose credit has already expired.
  • An hourly entry must contain at least 1 minute. The currently recognized durations of pending and approved entries together can total at most 24 hours per day per allowance, before applying the factor. For a day-based allowance, the limit is 1 day, entered in half-day or whole-day amounts.
The form shows errors and the remaining duration for the selected day. If a date is unavailable, choose the actual work date within the allowed range; ask your administrator if employment or allowance settings need correcting.

Follow approval and credit

Open My overtime from your allowance card in My calendar. Entries show their date, logged duration, status, approval decisions and any reason or expiry. Use Show more for older entries. Waiting entries do not add to your available balance. Credit is added only once the required approval process is complete. An approver can approve less than you logged and must explain the reduction. Your final credit uses the recognized duration and the factor saved when you submitted the entry. For example, two hours on a day off with a factor of 1.5 earn three hours of credit if fully approved. Your administrator sets the factors and expiry. If a fixed validity applies, it starts on the day worked, even if approval happens later. Otherwise, the allowance’s carry rules apply. Approval and decline notifications can arrive by email or Microsoft Teams, depending on your notification preferences and connected account. You can always check the current entry in absentify. Expired credit is no longer available; Credit removed means an administrator removed the credit.

Withdraw or correct an entry

While an entry is waiting, select Withdraw in My overtime and confirm. It stops waiting for approval and earns no credit. To correct a pending entry, withdraw it and log the correct details again. Approved and declined entries cannot be withdrawn through this action. Ask your administrator about correcting approved credit; do not log the same work again.

Request recovery time

Use Create request to submit an absence request. Select your company’s linked recovery leave type, such as Time off in lieu, and choose the dates and times. The leave type’s booking interval and approval settings apply. Check your available allowance before submitting. Logging overtime does not reserve recovery time in your calendar. The recovery request spends the linked allowance according to its normal deduction rules.

Missing options or credit?

Ask your administrator to check workspace beta access, the supported plan, and whether overtime logging and your allowance are enabled. A hidden or disabled allowance, employment dates, or no valid date in the allowance range can also prevent access. If a recovery leave type is missing or only offers full hours, your administrator must check its visibility, linked allowance and booking interval.
