In absentify, employees can also act as approvers for absence requests submitted by their colleagues, depending on the setup of your organization. This guide explains how employees can manage these requests, handle approvals or declines, and access additional details as approvers.

Notifications for pending approval requests

If you are an approver for another employee’s absence request, the bell icon in the top-right corner of the navigation bar will notify you of pending requests. Here’s what the notification indicates:

  • A red dot signals that there are approval requests awaiting your action.
  • A number shows how many requests you need to review.

These notifications are exclusive to requests where you are the designated approver.

Viewing and managing approval requests

To manage approval requests:

  1. Click on the bell icon in the top-right corner.

  2. A list of pending requests will appear, displaying the following details:

    • The name of the employee who submitted the request.
    • The date and time the request was created.
    • The type of leave and the duration requested.
  3. You can take the following actions for each request:

    • Details: View more information about the request, such as the leave type and duration.
    • Approve: Approve the request if everything is in order.
    • Decline: Decline the request and provide a reason in the prompt before confirming.

Additional visibility for approvers

When you are the approver of a request, you gain access to additional details about the absence request, including:

  • Leave type: You can see the specific reason for the absence (e.g., vacation, sick leave, home office).
  • Remaining allowance: You can view how many days or hours the employee has left in their leave allowance.
  • Request details: The full breakdown of the absence, including start and end times, is visible to ensure accurate decision-making.

Note: This enhanced visibility is only granted for requests you are responsible for approving. For other employees, you will not have access to their absence details unless you are also their manager.

Key considerations

  • Access limitations: Employees can only see and manage requests where they are specifically assigned as the approver.
  • Notifications: When you take action on a request (approve or decline), the employee who submitted the request will be notified.
  • Reasons for decline: If you decline a request, your reason will be recorded and visible to the employee for transparency.
  • Data privacy: The enhanced visibility is limited to the approval process and does not grant general access to other employee details outside of the request.
