Integration with Dynamics 365
Learn how absentify integrates with Microsoft Dynamics 365 to automatically sync absences.
The integration between absentify and Microsoft Dynamics 365 enables companies to automatically transfer absences into Dynamics. This saves time, prevents duplicate entries, and improves planning for HR and project teams.
How it works
If a company uses Microsoft Dynamics 365, absences can be automatically tracked through Outlook categories.
When an absence is created in absentify, a corresponding calendar entry is generated in Outlook. If the Dynamics integration is active, this event will also be tagged with the “Tracked to Dynamics 365” category.
Dynamics 365 recognizes this category and automatically processes the calendar entry.
The category must exist in the user’s Outlook account in order for Dynamics to recognize the event.
Requirements
To ensure the integration works correctly, the following requirements must be met:
The feature is only visible if Outlook is correctly connected
The feature is only visible if Outlook is correctly connected
The Dynamics 365 integration feature is only visible if the company has connected Outlook with write access in absentify.
→ If the option is not visible, it’s usually because Outlook is not fully connected.
The "Tracked to Dynamics 365" category must exist
The "Tracked to Dynamics 365" category must exist
The “Tracked to Dynamics 365” category must exist in the user’s Outlook account.
→ If absences are not being correctly tagged, the user should check whether this category exists in Outlook. If it doesn’t, it can be created manually.
The leave type must have sync enabled
The leave type must have sync enabled
The “Track to Dynamics 365” toggle must be activated in the corresponding leave type in absentify.
→ If the Dynamics 365 category does not appear in the Outlook event, check if the toggle is enabled in the leave type configuration.
Dynamics 365 only processes events with the correct category
Dynamics 365 only processes events with the correct category
Dynamics 365 only processes events if the corresponding category is applied.
→ If absences are not showing up in Dynamics, even though the integration is active, the category may be missing or the system may not be configured to import such events.
Benefits of the integration
1. Central visibility for HR and management
- HR teams and project leads can see absences directly in Dynamics 365.
- No need to switch between different tools.
2. Improved project planning
- Absences are automatically included in task planning.
→ Example: A project manager sees in Dynamics that a team member is on vacation next week and can reassign tasks accordingly.
3. No duplicate data entry
- Employees don’t need to manually record their absences in multiple systems.
- The sync ensures that absences automatically appear in Dynamics as well.
4. Unified view for leadership
- Dynamics 365 is often used as a central data hub.
- Absences are visible there directly – no need to check Outlook separately.
5. Integration with business processes
- Absences can be included in approval workflows, payroll, or resource planning – all managed within Dynamics 365.
Use Case
A company uses Dynamics 365 to schedule customer appointments. Without integration, a vacation entry would only appear in the employee’s Outlook calendar – the person would still appear available in Dynamics.
With the integration, Dynamics 365 automatically recognizes the absence status, and scheduling can be adjusted accordingly.
Automatically syncing absences to Dynamics 365 helps your organization optimize HR and project planning – without requiring employees to enter their absences twice.
