The Managing leave types section gives you a centralized view of all leave types configured in your workspace. As an admin, you can quickly assess key settings, manage the display order, and maintain a clean and organized leave type structure.

Leave type overview

The leave type overview displays a list of all active leave types available to users when submitting an absence request.
Each entry includes tags that reflect the configured logic and behavior of the leave type, such as:
  • The name of the leave type
  • The assigned icon and color for visual identification
  • A summary of key settings, including:
    • Needs approval
    • Take from allowance
    • Private
    • Requires representative
This makes it easy for admins to verify configurations at a glance — without needing to open each leave type individually. You can manage leave type names, icons, and settings by selecting the edit (pencil) icon for the respective leave type.
Most leave type changes affect existing requests as described below. Changing Days or hours does not convert existing requests; they keep their original days or hours.

Reordering leave types

The order in the list is the order in the leave-type dropdown when users request time off. New leave types appear at the end. To change the order:
  1. Drag the handle next to a leave type, or move it with the keyboard.
  2. Drop it in the new position. absentify saves the order and shows Saved successfully.
This order also applies on My calendar. Leave types under Taken on each allowance card follow it, and so does the Without an allowance list. Allowance cards themselves stay in allowance order.

Changing leave type settings

When you edit a leave type, some settings apply to all existing leave requests; others apply only to new requests created after the change. Archiving leave types

Archiving a leave type removes it from the list of options available to users but preserves all associated data. This is useful when a leave type is no longer in use but historical records still matter — for example, “Corona Sick Leave” or phased-out policies. To archive a leave type:
  1. Go to Settings > Leave types
  2. Select the archive icon next to the leave type
Archived leave types are moved to the Archived tab. When you create a copy in the other unit, the dialog can archive the original for you.

Viewing and restoring archived leave types

To manage archived leave types:
  1. Navigate to the Archived tab under Leave types
  2. You can:
    • Select the restore icon to make a leave type selectable again
    • Select the trash icon to permanently delete a leave type (only if no linked requests exist)
Leave types with existing absence requests cannot be deleted.
They must remain in the system to ensure historical data integrity.

Deleting a leave type

To remove a leave type:
  1. Navigate to Settings > Leave Types.
  2. Select the archive icon next to the leave type.
  3. Switch to the Archived tab.
  4. Select the trash icon next to the archived leave type.
  5. Confirm the deletion.
Deleting a leave type prevents new requests but does not affect existing records. Ensure the leave type is no longer in use before deleting.

Best practices for leave type management

  • Archive first: Always archive a leave type before deleting it. This allows you to monitor if it is still being referenced.
  • Review reports: Check usage reports or exports to confirm no users are actively using the leave type.
  • Schedule deletions: Consider waiting until the end of a fiscal year to delete archived leave types for better traceability.
Use archiving when:
  • The leave type is no longer relevant for new requests but may appear in historical data.
  • You are phasing out a policy but want to retain its traceability.
Use deletion only when:
  • The leave type is completely obsolete.
  • You have verified that no active or archived users reference the leave type.
